Care For Kids Registration Guidelines

Introduction

Care 4 Kids helps low to moderate income families in Connecticut pay for child care costs. This program is sponsored by the State of Connecticut's Department of Social Services (also called DSS).

To participate in the program, there are certain eligibility requirements for parents, children and child care providers.

Families must:

  • live in Connecticut;
  • be working or attending a temporary family cash assistance (Jobs First) approved education or training activity; and
  • meet the program's income requirements.

Children must:

  • live in Connecticut; and
  • be under age 13, or if the child has special needs, be under age 19.

Providers must:

  • be licensed by the CT Department of Public Health (unless exempt from licensing); or
  • be a relative, like a grandparent; or
  • take care of the child in the child's home.

Care for Kids (C4K) Required Document Checklist

If you have previously applied to care for kids please write your family ID number on each page of the application, if not, put your first and last name on the top of each page. Be sure to sign and date your application.

3. Complete and submit the Parent Provider Agreement (PPA) to the BBGC Care For Kids Office

You must complete ONLY sections 1, 5 & the hours each child will be attending in section 3 (please see directions below). Please do not enter any other information.

If you have multiple children ALL GOING TO THE SAME LOCATION, you may submit only one PPA. If your children will be attending multiple locations, you will need to complete a separate PPA for each location. Be sure to sign and date your PPA.

4. Submit copies of your two most recent pay stubs to the BBGC Care For Kids Office

Please do not submit originals and they must be most recent.

C4K Questions & Answers

Where do I get the required documents?

You can go to our website (www.bbgc.org) and retrieve the registration documents. Our website even has a link to the C4K web site so you can print those documents too. If you are unable to print or do not have internet access you can get both registration and C4K paperwork from the front desk staff at 105 Laurel Street.

To whom do I give the paperwork?

All paperwork should be submitted to the school-based program administrative office on 255 West Street.

Where are you located and what are are our hours?

We are located at 255 West Street, right here in Bristol. The office hours are 8:00 am-4:00 pm Monday through Friday. If you cannot make it during these times, please contact us and we can try to set up an appointment.

I cannot afford the childcare registration fee or weekly tuition until I know what care for kids is willing to pay. What do I do?

Parents must make the non-refundable registration fee payment before we will process documents. We will list start date for C4K purposes and submit C4K documents. We will not begin charging you until your child attends his/her 1st day. If you choose to start before C4K makes its determination, you will be responsible for the full weekly tuition.

I gave you my paperwork. What happens now?

Once you submit your paperwork to us, we will review it for any possible errors or missing information. We will complete the PPA and fax the necessary documents to C4K. We will receive a fax confirmation stating when the fax was sent and keep it on file in our office. C4K will be in contact with you via mail.

How do I know that my paperwork was received?

Care for Kids will send you a letter stating that they received your paperwork and have opened a file. This letter will also include your counselor’s name. That is generally within 14-30 days of the receipt of the fax, although we cannot guarantee any time frames. After 48 hours of the fax being sent you can call C4K at 1-888-214-KIDS (5437) to be sure they received it. It is highly advised that you make contact with your counselor when you receive the letter as this person will be processing your paperwork and will TELL us what they will pay for your child’s care, thereby lowering what you have to pay us directly.

How much will Care for Kids Cover?

We have NO idea. The Boys & Girls Club cannot tell by looking at the documents you provide. As an organization, C4K will make that decision based on family size, income and other information they will ask for. In general, they do not cover ALL of your childcare. Be prepared to pay for a portion of your childcare even if you are approved. 

 How long does the whole process take?

Expect a minimum of 30 days. If you are cooperative and supply all information C4K requests in a timely manner, be patient and keep in contact with your counselor, it should make the process a smooth and efficient one.

 Care for Kids sent me a Missing Information Letter. What does that mean?

We receive the notification, too. If it is information that you already gave to us, we will re-submit that information to them. If you don’t understand what they are looking for, it is best to clarify with your counselor to be sure you are submitting what they need. Incorrect or missing paperwork can hold up your approval. Often C4K is looking for further verification of a work schedule from your employer. We can fax information for you or you can bring it to C4K personally.

Can my child(ren) start before my C4K has been approved?

Absolutely! Your child(ren) can start as soon as the school-based administrative office verifies that all registration material is in order. You will be responsible for the full tuition rate until we receive a Certificate from C4K stating your benefit. We will adjust your tuition accordingly and issue a credit if necessary when the C4K Certificate is received.

If I am approved how do I know what C4K is covering and how much I will be required to pay?

C4K will send you a certificate. We will also receive a copy of the certificate. We will calculate the amount C4K is covering and adjust your Tuition Agreement. You will receive a letter with your new weekly rate and a new tuition agreement.

How do I correctly show my child’s hours on the PPA?

You need to enter the hours from the time your child is dropped off to the time you pick up your child. We also need to account for the hours your child is not in our care and attending school. Examples follow:

What is a Certificate and why is it important?

That is a statement of your C4K subsidy. Each is individually numbered and gives information including the child and parent, how long C4K is covering, what location and how much they will pay. It is important to let care for kids know of any changes to the schedule or location immediately. They will cancel that certificate and re-issue a new one.

The Boys & Girls Club charges a higher rate during a vacation week than the normal school week. Why and how does this affect my C4K?

During vacation days and weeks your child is in our care for more hours than a normal school day or week. You may apply for additional funds through C4K for your vacation weeks. C4K will send you a vacation request form when a vacation week is near. C4K will determine if you are eligible for any additional subsidy. Often, we are notified AFTER the vacation week has passed; so you will need to pay the vacation week up front. Your account will be adjusted after C4K sends us the payment.

What if the adjustment made after you receive my C4K certificate leaves a credit on the account?

When that happens, either a check can be cut to you refunding the difference or you can leave it on the account and apply it to a future week’s tuition.
